HUMANS IN FLOW - SENIOR FLOW VR
HEALTH & SAFETY VR NOTICE
Effective date: 02 February 2026
This notice explains important safety information for HUMANS IN FLOW (“HIF”) Virtual Reality (“VR”) sessions. By booking, participating, or allowing a Participant to use VR, you acknowledge and agree to follow these safety guidelines.
1. KEY PRINCIPLES
- Safety comes first: sessions may be adapted, paused, or stopped at any time.
- Comfort is the goal: experiences are designed to be calm and suitable for seniors.
- Seated or reclining use is strongly recommended for seniors and first-time users.
2. WHO SHOULD NOT USE VR (OR SHOULD SEEK MEDICAL ADVICE FIRST)
A Participant should not use VR, or should consult a medical professional before using VR, if they have:
- a history of seizures/epilepsy, unexplained blackouts, or seizure-like symptoms
- severe vertigo or severe motion sickness
- severe migraine conditions triggered by visual stimuli
- serious heart conditions or symptoms such as chest pain, fainting, or unexplained shortness of breath
- severe anxiety/panic triggered by sensory immersion
- acute illness, fever, intoxication, or extreme fatigue
- conditions where head/neck movement is contraindicated
If any doubt exists, do not use VR and inform us in advance.
3. POSSIBLE SIDE EFFECTS
VR may cause:
- dizziness, nausea, motion sickness
- disorientation or balance disturbance
- eye strain, headache
- sweating, anxiety, or discomfort
These effects usually subside quickly after stopping.
4. DURING THE SESSION (MANDATORY RULES)
- The Participant must remain seated or reclining when instructed.
- Follow the facilitator’s guidance at all times.
- Stop immediately if discomfort occurs: tell the facilitator and remove the headset.
- Do not attempt to walk while wearing the headset unless the facilitator explicitly instructs otherwise.
- Keep the headset strap comfortably fitted; avoid over-tightening.
- If the Participant uses glasses, fit will be adjusted where possible.
5. ENVIRONMENT AND SETUP
To run sessions safely, the space should provide:
- a stable chair/armchair or bed/recliner
- clear surrounding area (no obstacles, sharp corners, tripping hazards)
- a calm environment (where possible)
- appropriate lighting and ventilation
If the environment is unsafe, the session may be relocated within the premises or rescheduled.
6. SUPERVISION (IMPORTANT FOR SENIORS)
For Participants who are frail, have reduced mobility, cognitive impairment, or higher fall risk, a caregiver/staff member should be present unless agreed otherwise in writing.
7. HYGIENE AND CLEANING
We apply reasonable hygiene measures, including:
- cleaning/disinfection of headset contact surfaces between Participants
- use of disposable or sanitised face interfaces where possible
- hand hygiene before/after use
If the Participant has a contagious illness, please notify us in advance to reschedule or adapt safely.
8. AFTER THE SESSION
If a Participant feels unwell after VR:
- stop the session, sit quietly, hydrate
- avoid driving or operating machinery until fully recovered
- seek medical advice if symptoms persist or are severe
9. EMERGENCY SITUATIONS
In case of a medical emergency:
- call local emergency services immediately (France: 15 / 112)
- follow caregiver/staff protocols if in an institution
- inform the facilitator
10. SIGNATURE / IMMERSION DAYS (THIRD-PARTY SERVICES)
Signature / Immersion Days may include services provided by Concierge Partners/Third-Party Providers (venues, transport, tastings, performers, etc.). Each provider is responsible for the safety of their own services. HIF is responsible for VR facilitation as provided by HIF, subject to applicable law and the Terms & Conditions.
